Nanny Nexus LLC ("we," "our," or "us") is committed to protecting your privacy and the privacy of the families and children you care for. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and related services (collectively, the "Service"). Please read this policy carefully. By using the Service, you agree to the practices described in this Privacy Policy.
1. Eligibility and Intended Users
Nanny Nexus is designed exclusively for use by adults. You must be at least 18 years of age to create an account or use the Service. The Service is intended for parents, legal guardians, and professional caregivers (such as nannies and au pairs) to manage childcare communication and daily activity logging. Children do not interact with, access, or use the Service. All information about children is entered and managed solely by authorized adult users.
2. Information We Collect
Information You Provide Directly
When you create an account and use the Service, you may provide the following types of information:
- Account information: Your name, email address, and password
- Profile information: Phone number, profile photo, and household preferences (for families)
- Child information: Child's first name, date of birth, allergies, dietary needs, medical information, emergency contacts, and care preferences. This information is entered by authorized adult users only.
- Daily activity logs: Sleep schedules, meals and feeding, diapers, medicine administered, activities, bath times, potty training, injuries, sick days, and developmental milestones
- Photos: Images uploaded by authorized adult users to the shared gallery
- Messages: Communications sent between connected users within the app
- Calendar and scheduling: Work schedules, events, and time-off requests
- Hours and shift records: Clock-in and clock-out times recorded by caregivers
- Expense and mileage records: Expense entries, receipt photos, and mileage trip records entered for reimbursement reference
- Shopping and to-do lists: Household items and task lists shared between connected users
- Memory log entries: Notes and memories recorded by caregivers
Information Collected Automatically
When you use the Service, we may automatically collect certain information, including:
- Device information: Device type, operating system version, and unique device identifiers
- Crash reports: If the app crashes, we receive a technical report describing what went wrong so we can fix it. Crash reports do not include your care logs, messages, or photos.
- Location data: If you enable location sharing, your geographic location during designated work hours only. Location data is never collected passively or outside of the hours you set. You may enable or disable location sharing at any time in the app settings.
3. How We Use Your Information
We use the information we collect for the following purposes:
- To provide, operate, and maintain the Service
- To connect families with their authorized caregivers and enable real-time communication
- To send notifications about activity logs, messages, calendar events, and account activity
- To process subscriptions through Apple's in-app purchase system
- To respond to your questions, comments, and support requests
- To detect, prevent, and address technical issues, fraud, or unauthorized access
- To send you promotional or marketing communications, if you have opted in to receive them. You may opt out at any time.
We do not use your information to serve targeted advertisements. We do not sell, rent, or share your information with advertisers.
4. How We Share Your Information
We share your information only in the following limited circumstances:
- With connected users: Information is shared between families and their authorized caregivers as part of the core functionality of the Service. Families control which caregivers have access to their account.
- With service providers: We use trusted third-party services to help operate and improve the Service. Currently, these include Google Firebase (for authentication, data storage, push notifications, and crash reporting) and Apple (for subscription payment processing). These providers are contractually obligated to protect your information and may only use it to perform services on our behalf.
- For legal reasons: We may disclose information if required to do so by law, or if we believe in good faith that such action is necessary to comply with legal obligations, protect our rights or safety, or protect the rights or safety of our users or the public.
We do not sell your personal information to third parties. We do not share your information with advertisers or data brokers.
5. Children's Privacy
Nanny Nexus is not directed to children and is not intended for use by anyone under the age of 18. We do not knowingly collect personal information directly from children. All information about children stored within the Service is provided by authorized adult users (parents, legal guardians, and professional caregivers) for the purpose of managing childcare.
We take the protection of children's information seriously. Information about children is only accessible to the adult users within that family's connected account. We implement appropriate security measures to protect this data (see Section 7: Data Security).
If you believe that a child has provided personal information to us directly, or that we have collected information about a child without proper authorization, please contact us immediately at support@nannynexusapp.com and we will take steps to delete such information.
6. Location Data and Mileage Records
Nanny Nexus includes an optional location-sharing feature that allows families to see a caregiver's location during designated work hours.
- Location sharing is entirely optional and must be explicitly enabled by the caregiver
- When enabled, location data is only collected during work hours set by the caregiver
- Location data is shared only with the connected family and is not used for any other purpose
- When location sharing is enabled, the app may keep a short history of recent stops (such as arrival times and place names) so the family can see recent activity. Location history is automatically deleted after 30 days.
- Caregivers have a master toggle to disable location sharing at any time
- We do not sell, share, or use location data for advertising or tracking purposes
Nanny Nexus also includes an optional mileage tracking feature that caregivers can use to record work-related trips for reimbursement reference. Mileage tracking is started and stopped by the caregiver and works only while the app is open. Trip records include dates, distances, and start and end times, are stored like other care records, and are visible only to the caregiver and the connected family. Caregivers may export their own trip records. Mileage tracking is never automatic and never runs in the background.
7. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:
- Encryption of data in transit using HTTPS/TLS protocols
- Encryption of data at rest on our cloud servers
- Secure user authentication with Firebase Authentication
- Server-side security rules that restrict data access to authorized users only
- Regular review and updating of our security practices
While we strive to protect your personal information, no method of electronic storage or transmission over the internet is 100% secure. We cannot guarantee absolute security, but we are committed to maintaining industry-standard protections appropriate to the sensitivity of the data we handle.
8. Data Retention and Deletion
We retain your information for as long as your account is active or as needed to provide you with the Service. Specifically:
- Active accounts: Your data is retained for the duration of your active subscription and account
- Account deletion: You may delete your account at any time directly within the app through the account settings. Deletion is immediate and permanent. Your account credentials, profile information, and personal data (such as your profile photo and location history) are permanently removed and cannot be recovered.
- Care records shared with a family, such as care logs, messages, photos, shift records, and expense records, are part of that family's account and remain available to the family after a caregiver deletes their account, because they document the children's care history
- Families may request deletion of their family's records at any time by contacting us at support@nannynexusapp.com, and we will process such requests within a reasonable timeframe
- Disconnected caregivers: When a family disconnects a caregiver from their account, the caregiver will no longer have access to that family's information
- Legal retention: We may retain certain information for a limited period as required by law or as necessary to resolve disputes and enforce our agreements
We do not retain personal information, including information about children, indefinitely. Data that is no longer needed for its original purpose will be securely deleted.
9. Your Rights
Depending on your location, you may have certain rights regarding your personal information. These may include the right to:
- Access: Request a copy of the personal information we hold about you
- Correction: Request that we correct any inaccurate or incomplete information
- Deletion: Request that we delete your account and all associated personal information
- Data portability: Request a copy of your data in a commonly used, machine-readable format
- Opt out of marketing: Unsubscribe from promotional communications at any time
- Withdraw consent: Where we rely on your consent to process information (such as location data), you may withdraw that consent at any time

10. California Privacy Rights
If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights regarding your personal information. These include the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of your personal information. As stated in this policy, we do not sell personal information.

11. Third-Party Services
The Service currently uses the following third-party services that may process your data:
- Google Firebase: Provides authentication, cloud database and file storage, push notifications, and crash reporting (Crashlytics). Firebase's privacy practices are governed by Google's Privacy Policy.
- Apple: Processes subscription payments through the App Store's in-app purchase system. We do not receive or store your payment card details. Apple's privacy practices are governed by Apple's Privacy Policy.
- Sign-in providers: You may choose to create your account or sign in using Sign in with Apple or Google Sign-In. If you do, Apple or Google authenticates your identity and shares limited account information with us (such as your name and email address). We never receive your Apple or Google password.
We do not integrate advertising networks, behavioral tracking tools, or data brokers into the Service.
12. Push Notifications
We may send push notifications to your device to alert you about new activity logs, messages, calendar events, and other updates related to the Service. You can manage your notification preferences within the app settings or through your device's system settings at any time.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes to our practices, technology, legal requirements, or other factors. When we make changes, we will update the "Last updated" date at the top of this page. If we make material changes, we will provide notice through the app or by email. We encourage you to review this policy periodically to stay informed about how we are protecting your information.
